How to Vet a Plant Extract Supplier: 8 Documents to Request

时间:2026-11-05 14:07:12  |  Views:7  |  Class:Industry News

Price and sample quality tell you half the story when choosing a botanical extract supplier. The other half is documentation — what a supplier can (and cannot) produce on paper tells you how your orders will behave when volumes grow, when customs asks questions, or when your own customers audit you. Here are the eight documents to request before your first bulk order.

Why Documents Matter More Than Price

A low quote means nothing if the supplier cannot trace a batch back through production and testing. Strong documentation, by contrast, protects your regulatory filings, speeds up customer audits and gives you leverage when something goes wrong. Suppliers who produce documents reluctantly at the quotation stage will be slower still when you need them urgently.

The 8 Documents to Request

1. Batch-specific Certificate of Analysis (COA)

Not a template — a COA issued for the exact batch you will receive, with batch number, testing date, test methods and results. This is the single most important document in botanical extract sourcing.

2. Third-party laboratory test report

For a first order, ask for an independent test of the delivered batch on the key parameters (assay, heavy metals, micro). Suppliers confident in their QC welcome this; suppliers who resist it are telling you something.

3. Technical Data Sheet (TDS)

The TDS summarises typical specifications: appearance, solubility, suggested mesh size, recommended storage and shelf life. It is your baseline for comparing suppliers like-for-like.

4. Safety Data Sheet (SDS)

Required for transport, warehousing and workplace safety compliance in most jurisdictions. Check that the SDS version matches the current GHS standard for your market.

5. Heavy metals and microbial test reports

Pb, As, Cd, Hg and microbiology should be tested per batch or at least per production cycle, with results available on request. If these come only as generic statements without numbers, push for actual data.

6. Manufacturing and quality certificates

ISO 9001 or GMP certification for the production site; Halal and Kosher certificates where your market needs them. Ask for certificate numbers and validity dates so you can verify them.

7. Declarations

Allergen statement, GMO status, BSE/TSE statement, residual solvents and non-irradiation declarations — usually one-page documents, but your regulatory team will need them eventually. Collect them once and update per shipment.

8. Stability or shelf-life data

For ingredients heading into long supply chains, ask how shelf life was determined. A stability study or at least a justified shelf-life statement shows the supplier understands the material beyond the assay number.

Red Flags When Reviewing Documents

  • COA without a batch number or with fields left blank.
  • Test results with no methods, dates or laboratory identification.
  • Certificates that cannot be verified by number or issuing body.
  • Refusal to provide a third-party test on the delivered batch.

What We Provide as Standard

Every Insen Biotech shipment includes a batch-specific COA with HPLC results, and we supply TDS, SDS and the declarations above on request — typically within one working day. Every batch passes our on-site HPLC quality control before release, as described on our equipment page.

Frequently Asked Questions

What is the most important document when buying botanical extracts?

The batch-specific COA with stated test methods — it links the material you receive to actual test data rather than a product-level claim.

Should I rely on the supplier's in-house COA?

Use it for routine batch control, and request independent third-party testing for your first order and periodically thereafter.

How recent should a COA be?

It should be issued for the batch you are buying — age matters less than the match between COA and batch number.

Want to see our documentation standard before you ask? Request a sample COA pack and we will send it within one working day.
